Do you remember to archive your e-mail within Groupwise?  If you are like most administrators, this is probably one of the last things on your extensive “To-Do” list.  However, Groupwise e-mails only remain in your mailbox and cabinet (includes an sub folders within your cabinet if you have created them) for a period of 6 months from mail receipt before they are automatically deleted by the system.  There are several different ways to archive your Groupwise e-mail so that you can access the e-mails at any time beyond the 6 month period.  The method that I’m going to show you allows for archiving of your ENTIRE mailbox and cabinet in just a few clicks.

STEP 1:   Open Groupwise and within the Toolbar click Tools > Check Mailbox size (see image below).

Tools - Check Mailbox Size

STEP 2:  The Mailbox Storage Size Information window should be displayed.  Click on the radial button next to “Received Items” within View.  This will display all your received e-mails over the past 6 months that exist in your mailbox & cabinet (does not display previously archived e-mail or trashed items).  If desired, the e-mails can be sorted by Size, Date, Subject, and From by clicking on the respective fields.  Next click the Archive button to begin the process (see image below).  Note:  Depending on the size of your mailbox / cabinet, archiving of e-mail may exceed 30 minutes.  During this time you will not be able to utilize Groupwise on your machine until the archive is complete.

REMINDER:  Archived e-mails are direct to the archive folder on the respective computer.  The archive folder which contains your e-mails is located within the ”C” drive.  The folder is titled “archive”.  You will not be able to access your archive from an alternative administrative or instructional PC.
